Frequently Asked Questions: Non-Academic Room Requests

Where is the room booking request form located?

Depending on your status (student, staff, faculty, etc.), please complete the appropriate form:

More information is available on the Non-Academic Room Requests webpage.

Where can I find information about bookable rooms?

Details about spaces available in the Ignat Kaneff Building can be found under Quick Links on the Non-Academic Room Requests webpage.

Does my student club need to be recognized by SCLD?

Yes. All student clubs must be recognized by Student Community & Leadership Development (SCLD) to book rooms in the Ignat Kaneff Building.

In addition to the York University Room Request Form, students must also submit a Temporary Use of University Space (TUUS) form.

Does the TUUS office have a separate application?

Yes. The TUUS application is a separate process and must be submitted when a permit is required. Visit the Non-Academic Room Requests webpage to find out when a TUUS permit is necessary.

Who are considered external attendees?

External attendees are individuals who are not members of the York University community.

Should I submit the TUUS application first or book the space first?

A tentative hold on the space is required before submitting a TUUS application.
Please complete the appropriate room booking request form first. Once the hold is confirmed, you may proceed with the TUUS application.

Are service requests and A/V equipment orders chargeable?

Yes. Both require a 6-digit cost centre for billing.

  • Classroom Equipment Ordering System (CEO): For additional audio/visual (A/V) equipment
  • Service Requests (SR): For custodial services, including room setup and cleanup

Is classroom equipment included in the booking?

Yes. Equipment already installed in classrooms is included with your booking.

However, if you require additional A/V equipment—or if your event is in an open space such as the Helliwell Centre (Room 1014)—a CEO order is required and is chargeable.

For details and pricing, visit the Audio Visual Services and Technology webpage.

How do I pay for a Service Request (SR) or CEO order?

Submit your request using a 6-digit cost centre.
If you are part of a non-Osgoode student club, please contact Student Community & Leadership Development (SCLD) for guidance.

Can I log into the classroom computer as a student?

Yes. To request access, email rooms@osgoode.yorku.ca with your York email address and username.
