Reserve a Room at Osgoode

Non-academic room booking requests for the Ignat Kaneff Building (IKB) are coordinated by the Office of the Executive Officer (OEO).

Requests related to courses, academic programming, or exams must be directed to Osgoode Student Services.

All bookings are considered on a first-come, first-served basis and are subject to space availability and the academic priorities of the Law School. Requests are reviewed during regular business hours, and the OEO aims to respond within 1–2 business days. Booking confirmations are typically provided within 3–5 business days, although complex requests may take longer.

Osgoode Students and Recognized Student Organizations (RSOs)

Students and student groups must submit requests using the YU Room Booking Form (Passport York login required).

Key requirements for student organizations:

Student groups should consider registering to become an RSO.

Tabling Events

Tabling events are administered by the Office of the Executive Officer (OEO) and a Temporary Use of University Space (TUUS) permit is not required. To book a tabling event at the Ignat Kaneff Building, complete the Osgoode Ad Hoc Room Request Form.

To be eligible to host a tabling event:

  • The event must be organized by Osgoode students.
  • At least one executive member of the student club must be present at the table for the duration of the event.
  • If a Facilities Service Request is required (e.g., table setup or other support), a cost centre must be provided at least seven 7 business days in advance to allow sufficient time for the work order to be issued.

Osgoode Administrative Staff and Faculty

Staff and faculty should submit booking requests via the Osgoode Ad Hoc Room Request Form.

Instructions:

  1. Include all required details, including equipment and service needs. Fees may apply (see below).
  2. Determine if a TUUS application is required for your event. Submit the Ad Hoc Room Request Form first, then if required, complete the TUUS application at least 15 business days before the event.

Non-Osgoode Community Members

Requests from non-Osgoode York University community members are considered on a case-by-case basis and are not guaranteed. Osgoode activities and academic programming take priority.

Instructions:

  1. Submit requests via the Osgoode Ad Hoc Room Request Form.
  2. Include all equipment and service needs (fees may apply).
  3. Confirm if your event requires a TUUS application, then complete the application at least 15 business days before the event (if TUUS is required).

Notes:

  • Rates do not include additional equipment, catering, or custodial services, which may incur extra charges.
  • Minor changes to Service Requests (SRs) are allowed up to 7 business days before the event, subject to availability.
  • Certain areas are exempted from paying a room rental fee e.g., the Office of the President and Institutional Events. For other exemptions, please contact the Office of the Executive Officer at Rooms@osgoode.yorku.ca.

External Organizations (Outside York University)

Individuals or organizations not affiliated with York University can contact York University’s Housing & Conference Services to schedule an event at one of the York campuses. External organizations cannot reserve space directly through Osgoode’s Office of the Executive Officer.

Temporary Use of University Space (TUUS)

Some events require a Temporary Use of University Space (TUUS) application to comply with York University policies. The TUUS process is administered by York University and helps ensure safety, compliance, and appropriate use of space.

Catering, Equipment and Service Requests

Additional equipment and custodial services must be arranged directly through the appropriate York University departments. A York University cost centre number is required to request services. Fees will apply.

  1. Technology and A/V: Submit requests through the Classroom Equipment Ordering (CEO) system.
  2. Custodial Services and Room Set-Up:
    • Submit a Service Request (SR) through Maximo at least 10 business days before the event.
    • For rates, service details and to submit a request, visit the York Facilities website.
    • OEO may assist with SR submissions for some events.
    • Minor changes to SRs are allowed up to 7 business days before the event, subject to availability.
    • Additional fees or overtime charges may apply for custodial services.
  3. Catering: Refer to York Food Services for on-campus catering options. A dining directory of campus caterers is available online. The OEO does not place catering orders on behalf of room booking requestors.
