Accessing Your E-mail

With Microsoft 365, there are multiple options to access your e-mail, calendar and contacts:

  • Web Browser – Use Outlook on the Web to access your e-mail from a web browser
  • Outlook Desktop Client – Sign into Microsoft 365 Copilot Apps to download and install the Microsoft Outlook desktop client
  • Mobile Device – Download Outlook Mobile from the App Store or Google Play to access your e-mail on your mobile device

Configuring the Outlook Desktop Client or Mobile App

When opening the desktop or mobile client, sign into the app using your Passport York credentials (username@yorku.ca).

Accessing Shared Mailboxes

Outlook on the Web

  1. Sign in to the Outlook on the Web using your Passport York credentials (username@yorku.ca)
  2. Click your account picture in the top right corner
  3. Click Open another mailbox…
  4. Type in the e-mail address of the mailbox you would like to access then click Open

Outlook Mobile App

  1. From your account inbox, tap the circle beside Inbox
  2. Tap Add Account (Icon – Envelope with a + sign)
  3. Enter the e-mail address of the shared mailbox, tap Add Shared Mailbox

Outlook Desktop Client (Windows)

  1. Launch Outlook from the Start Menu
  2. Right-click on your e-mail address in the left folder pane
  3. Click Data File Properties…
  4. Click the Advanced button
  5. Select the Advanced tab
  6. Click Add and type the e-mail address of the mailbox you would like to access, then click Open
  7. Click Apply then OK twice to close the dialog boxes
  8. Close and re-open Outlook 2016

Outlook Desktop Client (macOS)

  1. Launch Outlook from the Dock
  2. Right-click on your e-mail address in the left folder pane
  3. Click Account Settings…
  4. Click the Advanced button
  5. Select the Delegates tab
  6. Under Open these additional mailboxes: click +
  7. Type the e-mail address of the mailbox you would like to access, then click Add
  8. Click OK then close the Accounts window
  9. Click Continue on the Verify Certificate window
  10. Check Always use my response for this server
  11. Click Allow
  12. Close and re-open Outlook 2016

Sending E-mails from Shared Mailboxes in Outlook

  1. Click New E-mail on the ribbon
  2. Click Options -> From on the ribbon
  3. Select the mailbox to send from by clicking the From ˅ button
