Using SharePoint
Accessing SharePoint Sites
- Sign into the Microsoft 365 Copilot portal using your Passport York (username@yorku.ca) credentials
- Click the SharePoint app
- Click the SharePoint Site you want to access
- When accessing the site for the first time, you need to search for the site name. Once you accessed the site once, it automatically adds the site to Frequent sites.
- Click the Star icon on the top right of the site to add it to ‘Following’ list of sites
Creating SharePoint Sites
New SharePoint sites must be created by departmental managers. Sites can be created by clicking on New Site in SharePoint.
Deleting SharePoint Sites
- Obtain the URL of the SharePoint site you want to delete by going to your SharePoint site, and copying and pasting the link from your browser
- E-mail help@osgoode.yorku.ca with the URL of the SharePoint site to be delete
Adding Documents
- Click Documents on the left sidebar
- Click New -> Folder to make a new folder
- Drag documents from file explorer into the folder
Changing Owners or and Members
- Click the Members button in the top right of the site
- Click Add members to add a new member
- Click the down-arrow button below member’s name and select ‘Owner’ to make them an owner of the site; ‘Member’ to make them a member of the site or ‘Remove from group’ to remove them from the site
Managing Permissions Groups
Default groups exist in SharePoint, but additional groups can be created depending on the permission levels you need.
- Click the Settings button then Site Permissions
- Click Advanced Permissions Settings
- Click Create Group
- In the Group Settings section, specify who can view and edit the membership of the group
- In the Give Group Permissions to this Site section, choose a permission level for this group
Managing Access to Folders
- Select a folder
- Click the hamburger menu to the right of the folder
- Click Manage Access
- In the Manage Access pane, adjust permissions for the groups
Syncing SharePoint Documents with OneDrive
- From within the SharePoint site, click Documents
- Click the Sync button on the toolbar
- The files from the SharePoint site will be available in Windows Explorer under a folder called York University
Restoring Deleted Folders and Files
Follow these instructions to restore data from within 30 days of deletion.
- From within the SharePoint site, click Documents
- Click Recycle Bin
- Select the items to restore, and click Restore
Requesting access to Existing SharePoint Sites
E-mail the site owner to request that they grant you access to the site.
